1.0 Initial Setup
1.1 Welcome Email
All users receive a welcome email with instructions on how to begin using their eM4 account. The email will look similar to the email below:
1.2 Password Setup
Follow Step 1 by clicking the link to set up your password.
This will take you to the eM4 Central Office Portal screen to create your password. Step 2 is to choose a password. Re-type to confirm password. Click Set Password.
Once password is successfully set you will get a pop up box letting you know successful. It will prompt you to follow the setup instructions provided in the notification email. This setup will occur in your Microsoft Office client.
2.0 Email Client Configuration
Go into your Outlook Client to configure cloud client.
Click File and under Info go into Account Settings.
Go to Account Settings. Under the email tab choose New.
Choose the E-mail Account service and click Next.
Auto Account Setup will open up and will default to E-mail Account. Enter in the requested information. Click Next.
Your settings are going to be automatically configured. It may take a few minutes. Once completed you will get a message letting you know your POP3 account was successfully configured. Click Finish.
3.0 Account Settings
Now that you have installed the eM4 Cloud Solution, please update the account settings for optimal usage. To update settings, go back into your Outlook Client. Click File and under Info go into Account Settings.
You should see a list of all your email accounts. Double-click on the email account that you just set up.
This will bring you to the Internet E-mail Settings window. Click on More Settings button.
On the General tab there are two items to enter.
- Enter in the name that you want to refer to this account. This should be a "friendly name" and is what you are going to see displayed on the left-hand panel of Outlook. This will also be the name that you see as an option when you choose to send emails secure through eM4. Below uses the example of "eM4 Encrypted Email."
- Enter in the Reply E-mail address. This should be your email address.
It will auto-populate to your "unfriendly" eM4 secure email address. Make this a "friendly name."
Once friendly name and reply email are entered, click on the Advanced tab next.
The settings should match those provided below.
Under the Delivery section, regarding leaving a copy of messages on the server, PaperClip recommends removing from server after 1 days. Once this is updated, Click OK.
You will be taken back to the Email Internet Settings screen. Click Next button.
Tests will run. When shown that tests were successful click Close.
Then click Finish.
Setup is complete.
4.0 Using Secure Email Solution
To begin using the secure email solution click on the New Message button to create a new email in Outlook.
Using the From menu you will now have the eM4 Secure Email option to send from.
*Reminder, this is the “friendly name” that was setup earlier. All emails sent from this secure email account will be secure.
