Computer Output to Laser Disk

PaperClip32’s Computer Output to Laser Disk (COLD) add-on module is a highly-efficient mass storage software system utilizing PaperClip Incorporated's powerful information retrieval technology.

PaperClip COLD offers unique extract engine and viewer software to extract and display documents and reports from ASCII print spool files on conventional 80-column monitors in 132-column format. It captures and stores streaming print output creating an electronic snapshot of the data, enabling it to be viewed, searched and printed.

PaperClip COLD technology captures reports and documents generated in electronic format, before they become paper. The electronic files are intercepted before they reach the printer and are compressed and stored onto optical platters. The benefit of storing information in this manner is that it eliminates the cost of paper and printing, and it requires significantly less storage space than image files of scanned paper.

PaperClip COLD documents can be stored as large continuous reports on which users can perform precise full-text searches to navigate quickly. For easy viewing, green-bar overlays can be placed over data to simulate green-bar paper. Reports can be "burst" into individually stored documents where the data itself can be overlaid onto forms when viewed or printed.

Sample Use of PaperClip COLD
Rather than printing all the invoices processed by the end of a day, a print order can be easily turned into a spool file that is opened by PaperClip COLD. The software's extract engine looks at the first page of the file and compares the data in specified zones on that first page, such as invoice numbers, with the zones established for a predefined invoice-type document.

Once it recognizes the document as the first page of an invoice, PaperClip COLD groups all the pages together as one invoice until it recognizes the first page of a new invoice. It continues on this way until it completes the entire spool file.

Users can extract information from the zones defined in the invoice-type document to automatically index the folders into which the documents will be placed. For instance, invoice number C-347 would be automatically placed inside a folder labeled C-347. Once the extraction process is complete, the data is loaded into PaperClip Incorporated for storage and retrieval.

Extract Engine
PaperClip COLD's extract engine allows users to burst spool files, retrieve information and import the results into the PaperClip32 document management solution.
PaperClip COLD is a server-based process that does not require additional training for users familiar with the PaperClip32 document management software. Companies enjoy the benefit of one consistent interface between PaperClip COLD and PaperClip32.
The extract engine manages raw data so that storage requirements are minimal.
Captures batch file information before going to paper, thus reducing costs and improving productivity.
Offers full text search within documents and provides a wide variety of extract methods.
Can create new folders as required or stores documents into folders that already exist.
Can print to standard Windows-compatible printers or fax machines.
Includes the full search and security facilities of PaperClip32 document management software.
Documents can be written to existing optical storage devices used by PaperClip32. PaperClip COLD can also take advantage of PaperClip32 document management software's ability to group common document types onto their own platters.
Once stored to optical platters, PaperClip COLD ensures data integrity by designating COLD documents as "read only" data.

Viewer Software
PaperClip COLD's viewer software can display 132-column reports on an 80-column monitor.
Viewer software will take information from spool files and display it automatically within a screen image of the appropriate user-defined form. Because individual scans of each form are omitted, efficiency of document storage is greatly enhanced.
By using only the indexed data from forms and employing a single pre-scanned image of each specific form, response time for forms retrieval is improved markedly.
Users can view a one-page form and take advantage of any feature such as printing, routing and taxing.
For large reports, users can text search for specific information, print or fax either one page or a range of pages and select the "go to" feature to find a specific page.
Users can also overlay an alternating green bar paper style format for easier viewing and/or cut and paste information to another application.
